We have an exciting opportunity for a Senior Project Coordinator at the Office of Partnerships, based in our Evanston, IL office.

The Senior Project Coordinator independently plans and carries out complex and high-level projects for the Office of Partnerships. The Senior Project Coordinator collaborates with cross-functional teams to ensure projects are completed on time, within scope, and within budget.

Our Office of Partnerships builds out, oversees, and manages all major partnerships for UL Research Institutes, including competitive sponsored research activities, awards, prizes, the Advisory Board to the Chief Research Officer, our annual research symposium, and relationships with other key organizations.

What you’ll learn & achieve:

As the Senior Project Coordinator you will play a key role in the rapid growth of UL as you:

  • Collaborate with stakeholders to define project objectives, scope, and deliverables. Develop comprehensive project plans, including timelines, milestones, and resource allocation.
  • Assist in creating and maintaining project charters, ensuring alignment with organizational goals.
  • Coordinate and communicate effectively with cross-functional teams, ensuring everyone understands their roles and responsibilities, by facilitating regular project meetings, providing updates on progress, identifying potential roadblocks, and soliciting input from team members.
  • Identify potential project risks and develop mitigation strategies to ensure smooth project execution and proactively monitor project activities to identify deviations from the plan and take corrective actions as needed.
  • Allocate resources effectively based on project requirements and team member availability, coordinating with department leads to secure necessary resources and support for project execution.
  • Maintain accurate and up-to-date project documentation, including project plans, status reports, and meeting minutes and generate comprehensive project reports for senior management, highlighting progress, issues, and recommendations.
  • Implement quality control processes to ensure that project deliverables meet established standards and requirements, collaborating with quality assurance teams to conduct reviews and audits of project outputs.
  • Assist in budget planning and tracking, ensuring projects are executed within the allocated budget and monitor project expenses and identify cost-saving opportunities while maintaining quality.
  • Foster positive relationships with stakeholders, keeping them informed about project progress, changes, and potential impacts, addressing stakeholder concerns and requests promptly and professionally.
  • Perform other duties as assigned.

Experience and Education Requirements

  • Bachelor's degree in business, project management, or a related field.
  • Minimum 2 years of experience in project coordination or project management.
